One of the ways to verify and check a tenant is by requiring a recommendation letter. The letter must be from the tenant’s former landlords to prove and confirm the tenant’s claims.

What Is a Tenant Recommendation Letter?

A tenant recommendation letter is a document that landlords use to endorse a tenant. The recipients of the letter would be the prospective landlords of the tenant. The purpose of the letter is to help the landlords in screening tenants for their property. It must state the recommender’s feedback of the tenant and the details of the tenancy. The address of the recommender’s rental property is also necessary to state in the letter. Furthermore, the letter can also have the landlord’s contact information and signature.

Types of Tenant Recommendation Letters

Below are some of the types of tenant recommendation letters that landlords can use:

1. Landlord Agency Tenant Recommendation Letter: This is the type of letter to use for landlords associated with agencies. In the letter, the logo and letterhead of the agency are at the header. The name of the recipient and the date of the letter will be the next data to state below the header. The title is then placed after the date and at the center in bold font design. The first two details to disclose in the letter would be the tenant’s name and the property’s address. Other details to include are the rent period and amount.

2. Mortgage Tenant Landlord Reference Recommendation Letter: This letter aims not only to refer a tenant but also to verify the previous tenancy of the tenant. Two important parts of this letter are the third and fourth paragraphs. The third paragraph specifies the residential complaints the tenant faced. While the fourth paragraph is for the types of eviction notices served to the tenant.

3. Positive Landlord Reference Recommendation Letter: This letter is for landlords who are sure that they will send a positive recommendation. Tenants who were obedient, honest, and pays on time are the ones who will have this type of recommendation.

4. Tenant Recommendation Request to Landlord Letter: Compared to the other letters, this is not to refer tenants rather it is for the previous landlords. The tenant will be the one who will use this letter. He must fill in the letter with data and statements about his intent in renting a specific property. It should also include instructions and guidelines that the previous landlord must follow. And if there are documents enclosed with the letter, the tenant must enlist the documents. The list should be at the bottom or last part of the letter.

How to Create a Basic Tenant Recommendation Letter

A basic tenant recommendation letter will have the layout of a formal letter. Follow the steps below to begin creating the letter:

Step 1: Open and Prepare a New Blank Document Sheet from a Word-processing Software

Microsoft Word, Apple Pages, and GoogleDocs are the common options to choose from. Word-processing software applications and programs are preferable for creating documents and legal forms. Editing is convenient when using these programs. Moreover, customizing the margins and fonts is important to prepare the new sheet.

Step 2: Place the Rental Property Address, Date and Address of the Recipient

The rental property address is the address of the sender. This should be at the topmost center part of the letter. On the left side below the address would be the date of the recommendation. This is then followed by the recipient’s complete address.

Step 3: Add a Title

The title must either be in bold, in italic or with an underline to emphasize it from the rest of the texts. Its size should also be larger and it should be at the center aligning the rental property address.

Step 4: Use the Right Salutation

There are different types of salutations to use for letters. Addressing with formal correspondence would need the usage of “Dear Sir/Madam” salutation. While “Dear Mr./Mrs.” are suitable for personal letters. And if the recipient’s name is unknown, then the basic “To Whom It May Concern” salutation would be the best option.

Step 5: State an Introduction

The introduction should have a greeting to the recipient and the purpose of the letter.

The body will be for the details of the recommendation and the previous tenancy. Also, the body must have statements of whether the tenant is recommendable or not.

Step 7: Include a Closing Remark

The closing remark will serve as the conclusion of the letter. Thank you statements and contact details are some of the data to include in this part of the letter.

Step 8: Place a Signature Line

The signature line must have the name of the sender or the landlord with his signature on top. If the landlord is working with a rental property company, then he must also state his job position. This allows the recipient to know that the landlord or sender is an authorized person.

Checking and reviewing the contents of the letter will be the next step. And the last step is to print out the letter and send it to the recipient right after.

When sending the letter, it should be in an envelope marked with the address of the recipient. It is important to inform the tenant of the day when the letter is being sent, either by using the post office or online.
