Types of Professional Job Resignation Letter

One Month Notice

Most companies would usually require their employees to submit their resignation letters at least one month in advance. This is to provide them enough time to recruit for a replacement and have them trained in time to take the resignee’s place.

Two Weeks Notice

Some companies are not as strict as others and allow their employees to hand in a resignation notice letter two weeks prior to their last day. The two weeks can allow the company to properly plan how to cover the resignee’s absence.

Immediate Resignation Letter

There are instances when something comes up that forces you to hand in an immediate resignation letter. This is usually given for when the employee is enduring something major in their life or when they burnout from work and can no longer carry on.

Reasons For Resignation

People resign from their jobs for different reasons. Here we will be looking at some of the most common reasons and what to put in the resignation letters.

Health Reasons

When the workload becomes too much or if the employees work nonstop, it usually leads to burnout. This could cause their health to deteriorate to the point that the rest they require will last longer than their sick leaves allow. This is when a resignation letter comes in. For your letter, you would have to state what the doctor told you. There’s no need to get into the specifics so long as you have a medical certificate to support your letter.

Personal Reasons

When signing off from your position in a company, it can sometimes be difficult to explain why. Most letters of resignation are work-related, however, if you don’t want to give a lot of details explaining your resignation then you can leave it vague and explain that you’re leaving for personal reasons.

Family Reasons

Sometimes a situation arises in the family that leaves you with no choice but to resign from your work. For your letter, you will have to ensure that your reasons for the resignation have no relation to the work or people in the company but due to your family obligation. You don’t have to mention in full detail. It should be a given that the company completely understands.

Return to Studies

If you’ve decided to return to school and take up either a second course or simply get back to learning more from your previous course then you will have to inform your boss through your letter of resignation. Companies will usually require a two-weeks notice in this case.

Relocation

Your partner might have received and accepted a job offer that requires them to move to another area and rather than staying far from your comfort you choose to move with them. You’ll need a resignation letter that pertains to your relocation. In the event of returning, your relationship with your superiors and the company won’t be strained and they would welcome you back with open arms so long as you give your thanks in your letter.

Retirement

Owing to either age or other matters, you may feel that the time to part with your company for many years is drawing closer. To put a healthy end to your relationship with them, you will have to make a formal letter announcing your decision to retire. You don’t have to be incredibly sentimental in making this letter but do include your appreciation for the experience and friends that you’ve made in your time at the company.

Better Opportunities

If you accepted the offer of your current job to wait out the answer for your application to your dream company only to get an answer years later then you’ll have to gently inform your superiors that you’ve concluded you won’t be missing the opportunity. You may think that it is rude but the company would still understand and would be willing to let you go. Just make sure your letter retains professionalism to it as you conclude your time with them and move on to where the grass is taller and greener.

Making Your Letter

In making a professional job resignation letter, you have two options: to download and edit a template or to create one yourself. The former is much easier to do but if you choose to do the latter than you have to keep in mind that you need to make your letter professional. The three main parts include the introduction, the body, and the conclusion.

Your letter should begin with you explaining that you’ve decided to resign and follow up with the reason. It can be a three to five-sentence paragraph. Always include your gratitude to the company and tell them that you hope to work in partnership with them in the future. You can send your letter via envelope or even through email.
