How to Give Effective Employee Feedback

Just about every business has to ensure that their managers and supervisors understand that effective and high quality feedback is the key that will help motivate employees into the people that they need to bring a business toward success. So here are a few things you should know if you want to learn how to give effective employee feedback:

  • Make sure to only provide productive criticism.  Any kind of criticism won’t be easy to take, much less give. However, if one knows how to do it in a thoughtful and useful way with the best of intentions, the the provider of the criticism can expect only good results. This could lead to the the employee’s productivity, as well as the quality of the work, increasing .
  • You’ll need to be very specific with the type of feedback that you give. After you have appraised the performance of the employee, you’ll need to go into detail as to what you think he or she needs to improve, or what the employee has done right. For example, if you just say “Your work needs more improvement” then the employee will be wondering as to what he or she needs to improve on? You’ll need to say something like “You were not able to meet the expected quota for the month, you should try to focus on maintaining focus and stop letting co-workers distract you”. Not only will it point out what the employee did wrong, but you’re also telling the employee what he or she needs in order to improve.
  • Don’t wait for the quarterly review to give feedback. If you know that the employee is doing something wrong, then you’ll need to point out these problems as soon as possible. Because if you don’t have these behavioral or performance issues corrected, then it will just lead to the employee possibly gaining newer problems or having the old ones develop to the point where it’s hard to fix. And if you wait too long to provide these employees with feedback, they might just forget important information regarding a mistake that was made.
  • Make sure that it’s a one-on-one rather than reviewing the employee in public. Even if you’re praising the employee, there are some that would rather have it done in private rather than letting everyone else hear about what the employee was able to achieve. The reason is that some of these employees might just not want to be the center of attention. A one-on-one meeting is also a great opportunity for the employee to become more open regarding his or her feelings about the feedback you’ve given.
  • Always end on a positive note. Let us say that you end the feedback by discussing the problems that employee is facing and why it’s dragging down productivity. Any words of encouragement you’ve said during the beginning of the feedback session will be pointless as the employee can now only focus on the negatives. So if you have to discuss the issues of the employee, try to do it as early as the beginning of the sessions. The point of feedback is to help the employee improve, so you’re going to want to point out how much you appreciate all the hard work the employee has done, as well as praise whatever the employee has done right.
  • Use the 3×3 method. This method is where you point out 3 key strengths and weaknesses that the employee has. Considering that it’s such a small number, the employee can easily remember what these are. This means that the employee will know what he or she has to remain consistent, and the parts that should be changed and improved in order to become a more valuable asset to the business.
  • Give the employee the opportunity to discuss the feedback you’ve given. By allowing the employee to provide his or her insight regarding what needs to be done, the two of you may then work together where the both of you could develop a plan or set objectives that the employee needs to attain in order to improve.
  • Keep track of how the employee is doing. After you have given the employee the feedback that’s needed, you must monitor his or her progress. After a certain period, you may then do a follow-up feedback session that will help you see whether your previous advice or suggestions were of any help, or if the employee made use of them at all.

How to Get Customers to Answer your Surveys

Documents such as customer satisfaction survey forms are one of the best ways that businesses can gain feedback regarding how their customers feel about them. So here a few things that can help guarantee that your customers would be more than willing to help you gain the information that you need:

  • You’ll need to create a good subject line. The customer would need to know as to what the survey is from, so making a new subject line is important in gathering their attention. If it won’t catch the eye of your customer, then you can also expect that you won’t hear a single response regarding how they feel about your business.
  • Give these customers a good reason to answer whatever survey you hand out. They’ll want to know what you’re going to do with the information that they’ll be providing you, so try to make sure that you point out what the purpose of the survey is for and how it will benefit the customers.
  • Set expectations regarding how long it will take for the customer to complete the survey. Because if the customer finds out that the survey would take thirty minutes to complete instead of a minute, then they’ll be left feeling as if they have done nothing but waste their time. You’ll need to show how long it will take to complete whatever survey you’re going to offer so customers have a choice as to whether or not they would like to participate in it.
  • Try to keep your surveys as short as possible. Nothing feels worse than answering a really long survey, regardless as to whether or not it’ll benefit the customer in any way. If you can, try to make a survey where the customer only has to answer with either yes or no. Although it might not provide you with a more in-depth response, so long as you think it’s a method that suits your business as well as providing you with the information you need, then try using it on your survey.
  • Try to offer incentives that will get your customers excited about the thought of taking part in your survey. Something like offering a small discount on store item or a gift certificate will make your customers want to give you what you need. However, remember that there’s a risk to this as the customers might just answer your survey without any thought as their only objective could just be aimed at gaining the incentive.
  • Make sure that your questions are easy to understand and relevant. You’ll want to make sure that each question in the survey aims in helping your business develop, as well as helping you need the needs and wants of the customers. Any kind of question that doesn’t cater to either will just confuse and irritate the customer, which could result in them handing out an incomplete survey or a survey that hasn’t been answered.
  • Try to use multiple choice questions whenever possible. The reason is that it takes much less effort on your customer’s end, rather than letting them answer open-ended questions. However, you must remember that it won’t give you specifics so only use this method if you think it can get you the information your business needs.
  • Keep it as simple as you can. Don’t bombard the customer with too much text and make sure that the survey is clean to the point where your customer will have an easier time in completing your survey. If the questions are simple to read and understand, if the text is clear, if the survey is structured in a well-organized way, then you can expect that your customers can easily go through it and answer everything that will help you know what your business is doing right and wrong.
