Why Should We Conduct Periodic Evaluations?

1. To Look at Things from a Different Perspective

Evaluations may be conducted by colleagues, peers, supervisors, or even one’s self. Student Evaluations, for example, are meant to assess a student’s learning and knowledge while a Supervisor Evaluation allows the management to gauge the effectiveness of a supervisor.

Evaluations allow us to ponder and reflect on things and see the bigger, broader, and wider picture of it all. If an evaluation is self-conducted, the person can then take the time to truly and genuinely mull over his strong and weak suits and pin-point what makes him that way. If an evaluation is conducted by another person, the evaluation should be objective and unbiased, allowing the person who is the subject of the scrutiny to truly see his advantages and his flaws in a different light.

2. To Promote and Create Progress

Because evaluations allow people to review their potentials and their weaknesses, it helps supervisors and administrators point out areas for improvement where tools can be added and training programs can be conducted to help individuals progress and hone their skills more.

3. To Forecast Potential Results Outcomes

Being able to forecast the outcome of a project is important in business and in work in order for companies to gauge the success rate of a procedure or method that is being practiced. Through evaluations, companies and managers will be able to identify work procedures that need to be improved, methods that should be continued, and processes that waste a lot of the company’s resources.

4. To Initiate Communication among People in the Workforce

Though there are a lot of kinds of evaluations, one of the common factor that they have is that they allow objective communication to entities. As an example, employees can talk to the upper management about their observations while the management can also specify the strengths and weaknesses of employees in terms of performance and productivity. This also goes with the open communication of teachers to students and the like. Having feedback with either processes or performances allow growth to be present in professional relationships. This also allows grievances, under performance, and frustrations to be understood.

There are different types of evaluations and each one caters to a different use or a different purpose. Each method of evaluation requires different steps and processes and has a varied focus depending on the set standards and goals that have been established.

Oftentimes, the results or findings of an evaluation are used as a basis for rewarding an individual, especially if the evaluation is academically related or relating to work. Bonuses, promotions, and added incentives are usually given to employees whose performance evaluation results exceed expectations while students who produce outstanding results in exams and oral discussions usually merit high grades and earn a spot in the honor roll. Because evaluations are commonly used as a primary basis for honoring and reinforcing individuals, it is integral that results of evaluations are well documented to serve as a reference for these rewards or disciplinary actions taken on individuals who are both performing and not performing. Documenting evaluation results will be especially useful in the event that someone questions the decisions that have been made from the findings of an assessment. Below are the common types of performance evaluations that are typically conducted in the workplace or in school:

Oral Presentation Evaluation

An oral presentation is the act of delivering a speech, a lecture, or a demonstration in front of an audience. Oral presentations require certain skills to be delivered in order for it to be deemed effective. A lot of people who are tasked to evaluate oral presentations, usually look at five different factors: Confidence, Content, Clarity, Structure, and Visual Aids.

Confidence – A confident speaker is one who is able to present in front of an audience with an air of certainty about him. Regardless if the speaker feels jittery or if he is spewing out rubbish, as long a he appears adept with the topic at hand, then he can pass off as a confident presenter. A person who exudes confidence in his speech is someone who is able to maintain proper posture – head up and chin in – moves freely around the space given to him, uses an adequate amount of hand gestures, smiles, does not fidget, has an audible voice, makes eye contact, and speaks at the right pace.

Content – The information that will be present in the document is of utmost importance as it will be the basis of how the audience will perceive the entirety of the document’s effectiveness. A Speech should first be drafted and reviewed for a number of times before being used in an actual program to make sure that it contains meaning that can be understood by the expected audience. More so, it should be informative and clear. The details that should be presented must be provided accurately and accordingly.

Clarity – Aside from the content of a speech, the delivery or how the speech will be presented is also important. This gives the impact that the presenter should be able to provide the audience with. There are various methods of speech delivery and the usage of one of them should vary on the ability of the speaker, the topic and purpose of the speech and the event where the speech will be used. More so, the tone of the speaker’s voice should be controlled and must match the pace of the speech. The clarity of the speech will also depend on the key points that should be highlighted and how the speaker creates pauses to give importance to certain information.

Structure – The format and flow of the speech should be comprehensive. It must have organization to  assure that the structure of the speech’s content will be delivered in a great manner. The presentation of information should be as smooth as possibly especially on the points where transition to new topics or discussion is necessary. The idea of the main subject of the speech should be supported  by details that are relevant to what is being talked about. These details should also be outlined to form a striking introduction and a memorable ending or conclusion.

Visual Aids – Providing visual aids during a presentation is a method that promotes interaction and engagement. Tools such as PowerPoint that uses slides to illustrate or summarize a presentation can be presented by using projectors so the audience can have a quick outline of the topic of discussion. The usage of this visual aid can help presenters to create a more engaging talk. The key notes will also be properly specified and the summary of the entire topic can also be viewed in a precise and a more identified manner. Since these slides can be printed, a handout can be given to the audience so they can browse through what the speaker has talked about anytime they want. However, it is important to note that speakers should not read off their speeches from the visual aids that they provide; this will defeat the purpose of the speech and will make for a long and dragging presentation.

Manager Performance Evaluation

Managers oversee the overall operation of a company, an organization, a department, or a team. They are usually in charge of planning, organizing, and controlling resources, expenditures, or all aspects of a company or an organization. Managers carry a lot of weight and pressure because they are generally responsible and accountable for the success or the demise of a project or a work procedure, which is why it is important that a manager is periodically assessed to make sure that he is an effective leader so that he can properly lead his team toward success and the achievement of their goals and objectives.

Having manager performance evaluations can help businesses assess whether an individual is effective in terms of assuring that the management and workforce are at the same page when it comes to achieving the objectives and goals of the company. Being able to retain an efficient and productive manager can be a great advantage to any businesses as it gives them the security that there is a key person that can hold a team all together while balancing the needs of the business. This is why maintaining managerial positions through development programs and growth offers is what companies nowadays give focus on. Truth be told, the position of a manager is an important and crucial part of the operations which is why a periodic Manager Evaluation is imperative in order to ensure that quality management and handling is delivered.

There should always be a guide or metrics on how the management team is expected to perform so it will be easy for businesses to assess to identify whether they have selected the appropriate people to handle departments or divisions. Having a rubric that addresses this can also help the team to know what their quality measures are which allows them to work hard to achieve those.

Listed below are some of the items that you may consider following when evaluating your management team so you can have a more objective assessment of how they perform.

Provide a List of Objectives

Your management team needs to know how they are expected to act or perform their work responsibilities as well as the criteria that is being based on to rate their performance. This way, managers can focus on the areas that are primarily expected of them to excel.

Observe Your Surroundings

Most people say that the characteristic of the management is typically reflected and even imitated by employees. Sometimes, all you need to do to assess the performance level of your managers is to look at the people who are working under them. One sign or indicator of a team or a department that is being led by an efficient manager is that they are able to work efficiently as well.

Promotes Openness and Communication

In the eyes of an employee, there are only two types of managers: approachable and unapproachable. Managers who are approachable tend to encourage employees to be productive, forward-thinking, and open about their ideas and opinions. This method of management promotes creativity, efficiency, interaction, and communication in the workplace as opposed to managers who lock themselves up in their office.

Watch Out for Red Flags

Be closely observant on the small, silent details that are products of bad management such as high employee turnover, repeated negative feedback from customers, and low productivity rate. The ethics of the workforce defines the management style that they are subjected with. If there is proper employee treatment, the work that will be done during operational hours is most likely helpful in achieving the business’ goals. As they say, a business with good managers merit Productive Employees.

Employee Self- Evaluation

An Employee Self Evaluation is a type of assessment that allows employees to ponder and reflect on the way they perform at work. Self-evaluation allows employees to honestly state their condition in the workplace. This also helps them to know whether they are becoming an asset for the business, or the other way around

Through the help of employee self-evaluation, the administrators and the management can identify whether an employee thinks that the work the he/she is doing is actually enough to supply the expectations of the business from him/her. An assessment from the supervisors will also matter as this should be compared to what the employees think is their current state as a part of the business. Having a comparison of the two evaluations will be able to properly and effectively profile employees.  Hence, it will be easier to provide them with appropriate coaching and training programs if such procedures are necessary. Undergoing Employee Self-Assessments can either be for the purpose of regularization, promotion or just for employee performance updating.

The results of an employee’s self-assessment are one of the key bases for employees to identify the areas where they excel at and areas where they can improve on. Some of the tips that you may follow for you to create an evaluation that is honest, clear and precise are listed below.

Acknowledge Your Achievements

Attaining goals and objectives is something that is definitely worth giving credit to. Use your self-evaluation as a chance to flaunt your achievements and abilities to make your superiors aware of them. Employees should remember that they should always be proud of their achievements and accomplishments. This is not a form of bragging when done the right way. More so, the skills, abilities and other strengths of an employee can add up to the assets of the business. If you want to discuss these items, make sure to identify the impacts that they’ve given to the operations and the organization.

Be Open about Your Occasional Slips

A self-evaluation does not only credit a person’s strengths but it also takes into account a person’s weak suits. Be honest about the areas that you feel you need to improve on and learn to own up to your mistakes. If you are an honest employee, it is most likely that the management will appreciate you even more form owning up your short comings and ensuring that you will make up for them so you can become a better part of the company. Keep in mind that employers does not only look for leaders and strong people. They also want to harness the strengths of people who have the potential to handle important roles. You can be one of the latter people if the company can see your good character and how it can be shown throughout your work performance.

Talk about Your Objectives

Evaluations provide the chance for an open communication between employees and the management. Take this time as a chance to reflect on how effective you are with your work and map out a goal or a plan. Discuss with your superiors the plan of action that you need to develop in order to improve your strengths and abilities.

Employee Evaluation Forms

The usage of employee evaluation forms can affect both the business and the workforce. Having the time to conduct this kind of evaluation can help businesses to know whether there are necessary changes that should be implemented within the operations. On the other hands, employees will also be guided on what they can do to further improve as professionals.

Through employee evaluation forms, the human resource department and the upper management can come up with programs that can develop the people involved in the processes of the company. With this, the business can operate in a more efficient manner. Remember that the daily procedures followed by the employees can be very much impacted by how they have been trained.

When conducting employee evaluations, the management should be precise with the period of time that is being covered by the assessment. Employers should be keen about this matter as employees can change in terms of performance on varying business phases or duration depending on the conditions and factors that they face.

Having an evaluation does not only ensure that employees will improve in the future but it can also ensure the management that they have a record that they can use for references.

Your employee evaluation should be properly assessed. An important factor that you should keep in mind is to prepare an evaluation form that is comprehensive and highly-usable. Though some companies make their own evaluation forms, it will be faster and easier if you will refer to the templates of Self-Evaluation Forms that we have prepared in this post.
