How Can Comment Cards Impact Customer Experience?

Customers who are extremely upset with the service they received are most likely to fill out a comment card when you hand them one. They are also most likely going to specify the reason/s why they are upset and point out the things that should’ve been done.

In this sense, comment cards allow a company to rectify a customer’s issues. It is best to ask for a customer’s contact details in the comment cards and reach out to them within 24 hours so that they can be pacified before they vent out their frustrations and disappointment to their social network. Aside from this, complaint forms can also be used in addressing the concerns of irate or upset customers.

Enable companies to identify trends in complaints.

When you properly utilize comment cards, they can be extremely helpful, especially in identifying trends in the complaints that most or a large number of customers have with your service. This will allow you to formulate action plans to address the complaints. Service feedback forms may also be used for this purpose.

For example, if you run a restaurant, you will know the primary concerns that customers have by reading the feedback written by customers on your comment cards. How to Properly Use Comment Cards

Read them.

It is not an uncommon mistake for companies, small or big, to collect feedback from their customers and not do anything with it. At the end of every shift or by the time your shop closes, make it a point to gather the cards collected for the entire day and go through them.

Provide timely responses.

After you have gone through the collected customer cards, it would also be good to respond to them. You don’t have to respond to all of them, since that might take a long time, especially if you run a large company. But do take note of customers who are irate or extremely pleased with the service they have received. These are the customers you would want to respond to, either to rectify their concern or to thank them for their patronage.

Once you go through the comment cards that you have gathered for the day, it is important to not take the comments personally. Instead, use them as a tool to improve your business. Have the mentality that the customers only want to see you succeed because they took the time to provide their feedback, even they are frustrated or irate at the time.
