Why Good Complaint Handling Is Important

In the old days, conforming to the saying (and belief that) “the customer is always right” was the essence of good customer service. Today, however, business experts who adhere to such point of view are decreasing. And handling customer concerns has gone beyond just scrutinizing customer feedback forms, and in the cases of hospitals and clinics, Patient Complaint Forms.

People are different – that is a given. Therefore, there can be patient and amicable customers just as there are abrasive and unreasonably demanding ones; and there are also those who fall in between. The key to being able to adopt effective and exemplary customer service practices that cater to all types of customers is to observe and listen. Doing these steps with consistency will allow you to discover a pattern, and subsequently come up with strategies and solutions.

As a business owner, receiving complaints is always pressuring. However, when you possess the skill of being able to deal with complaints effectively, you will find that rather than being toxic to your business, they can be beneficial. Customer feedback, both positive and negative, will undoubtedly help you improve your services or products in more ways than one. It is simply a matter of how you receive and what you do with the feedback.

How to Handle Customer Complaints with Ease

A business receiving filled-out customer complaint form is no different from an employer getting Employee Complaint Forms. Though both instances can be daunting, beneath the surface, they pose significant benefits. A major benefit is finding out areas of improvement.

If you currently own or supervise a business, handling concerns and complaints from customers will allow you to reap such benefits. These are some steps you can take in easily (and effectively) addressing customer concerns:

  • Listen. Sensibly, knowing full well your customer’s concern is a matter of listening to them. It is also with this step that you will be able to gradually come up with a feasible solution.
  • Understand and express empathy. It is one thing to listen and take down notes, it is another to show to your customer that you understand where they are coming from by empathizing with them. This step is also where your customer will see if your willingness to help them is genuine.
  • Provide a solution. Once you have listened to your customer’s predicament regarding your service or product, take some time to assess what solutions you can provide your customer. Present the best and most achievable solution to them.
  • Conduct a follow-up. Addressing your customer’s concern should not stop at executing a solution for them. Maintaining your relationship with them means conducting a follow-up.
