How to Give and Receive Feedback

One must learnt to give and receive any type of feedback because the information might just be what one needs to give or hear that can help. So here are ways to help you properly give and take feedback.

When Giving Feedback:

  • Remember that feedback should not be about personality, but rather about one’s performance. Lets say that you’re doing a performance appraisal, you should mainly focus on what the person has done, not what type of person the employee is. So do not focus on his or her aspects of personality or intelligence but instead focus on the factors that greatly affect that employee’s level of performance.
  • Feedback should be as specific as possible. If you’re reviewing an employee and what that employee has done, you are going to want to point that out in detail. So whether you want to say something positive or negative, always provide the specifics. For example, if the employee did something right, don’t just say “Good job.” but state the reason why the employee is being praised and what he or she did.
  • Give feedback as soon as possible. You won’t be doing the employee or yourself any favors by withholding what you have to say. It’s always best to say what you need to say immediately so that everyone still has a clear memory  of whatever happened. However, you still have to think about the type of feedback you’re going to give, so give it some thought and then you may give it to the employee.
  • Never let your emotions get the better of you. This is a mistake that most managers have when providing feedback to their employees. If you let your emotions take over, then you may just end up saying something that you will regret. During your assessment of the employee and what he or she did wrong, remember to stay clam. Otherwise, you might end up saying something that could hurt the employee and possible result in that person leaving your company.

When Receiving Feedback:

  • Listen carefully. Always remember that whatever feedback you’re being given is something that’s supposed to help you out. So whenever your manager is telling you something you did right or wrong, listen and take in all the information that’s being handed out to you.
  • Take it as an opportunity for you to improve. Don’t let negative feedback get you down, but instead allow to fuel you to get better. Know that you know as to what you are doing wrong, you can use this information to fix it so you become an employee wherein your company would consider you an asset rather than a liability.
  • If there are any errors when receiving your feedback, point them out. Your managers can’t know everything about you. So if they have some of your employee information wrong then don’t be afraid to point it out. For example, you were being reprimanded for something that you didn’t even do, so you tell your manager that it wasn’t you and if you have the documents to prove it then even better.

The Different Types of Feedback Forms

One must remember that there are different types of feedback that can be given, but it is also important to know that there are different types of feedback forms to use. Knowing which form to use is essential to properly point out what needs to fixed, what needs to changed, or what’s being praised. So here are a few examples of feedback forms and their uses:

  • Product Feedback Forms. This is the kind of forms that are utilized by businesses wherein they hand these out to customers through either physical copies or through e-mail, and gain information about their products. Product feedback forms allow the customers to rate how they feel about the product or point out malfunctions or problems that they are encountering with them. They may also make use to make suggestions on how these products can improve.
  • Training Feedback Forms. Training feedback forms allow anyone who have attended any training programs or sessions wherein they can provide information as to whether or not it helped them develop their own skills and knowledge.
